The Role : Chief of Staff / Senior Operations Associate

We are seeking a Chief of Staff / Senior Operations Associate to work directly with our Head of Operations. This high-impact role is ideal for someone with a strong background in operations, data analysis, and process optimization—particularly someone excited about leveraging AI automation to drive efficiency across teams.

You’ll be responsible for enhancing our internal processes, monitoring customer experience interactions, overseeing design operations, and ensuring we deliver excellence at every touchpoint. This is a great opportunity for a proactive, analytical, and results-oriented professional to shape key operational functions in a fast-paced, high-growth environment.

Key Responsibilities

Customer Experience (CE) Monitoring & Improvement

Monitor and analyze all CE interactions to identify trends and areas for improvement.

Develop and implement data-driven strategies to enhance the customer experience.

Collaborate with the CE team to execute improvements and assess their impact.

Design Team Project Oversight

Track and manage design team projects, ensuring alignment with customer expectations.

Act as the operations liaison to ensure timely delivery, quality control, and satisfaction.

Identify bottlenecks and risks early, offering solutions to keep projects on track.

Data Analysis & Collaboration

Partner with the Data Analyst to monitor KPIs and analyze operational data.

Translate data into insights that inform process and strategic decisions.

Build dashboards and reports to keep stakeholders aligned and informed.

Operational Efficiency & Process Optimization

Identify and implement improvements across customer experience and design workflows.

Champion AI-driven process automation to eliminate redundancies and enhance productivity.

Ensure smooth communication and collaboration between CE, design, and data teams.

Maintain clear documentation of SOPs, metrics, and process improvements.

Strategic Support & Reporting

Support the Head of Operations with tracking and reporting on high-priority initiatives.

Prepare presentations and summaries for leadership using data-rich insights.

Assist with special projects and cross-functional initiatives as needed.

Qualifications

5+ years of experience in operations, data analysis, or a related field, with at least 2 years in a senior or leadership capacity.

Proven track record of improving customer experiences through data-driven strategies.

Strong project management skills, especially with cross-functional teams.

Proficiency in data tools (e.g., Excel, SQL, Looker, Tableau, or similar BI platforms).

Hands-on experience with automation tools or AI technologies to streamline operations.

Excellent communication and collaboration abilities across departments.

Highly organized, self-motivated, and capable of managing multiple initiatives at once.

Experience in the design or creative industry is a plus, but not required.

Bachelor’s degree in business, operations, or a related field; advanced degree a plus.

Fluent English (spoken and written) is required.
